Position Overview

Position Summary
This important administrative role will be responsible for receiving, recording, and legally acknowledging all charitable contributions to the ENMU Foundation in a timely and accurate manner, per donor intent, Foundation policies, and in adherence with the IRS rules and regulations governing contributions. The Gift Accountant Specialist will also be responsible for all accounting of gifts and transactions between the Eastern New Mexico University Business Office and The Foundation.

Requirements

Duties and Responsibilities:

  • Oversees all accounting activity between the Business Office and the ENMU Foundation.
  • Process and record gifts daily, including online gifts, electronic funds transfers, third-party platforms, and Gifts-In-Kind, while meeting all department deadlines.
  • Create, conduct and report regularly on gift activity.
  • Upload or scan supporting documentation on the donor or gift/pledge levels into Banner.
  • Coordinate and maintain the Development Office accounts to include deposits, reconciliation of bank statements, and the preparation of checks and/or vouchers.
  • Transmit acknowledgment data and coordinate its distribution to appropriate colleges/departments/units/donors.
  • Maintain files in credit card software and for bank draft transfers for scheduled credit card/bank draft pledge payments.
  • Balance donated checks, cash, bank drafts, and online charges and run transmittal reports.
  • Track major gifts and outstanding pledges, add or update data, and produce pledge reminders.
  • Maintain a current gift and pledge processing procedures manual.
  • Organize and maintain office files, including confidential materials, accounts of fiscal and other resources and expenditures.
  • Review, create, and update individual and corporate demographic information from gift source documents.
  • Provide reliable, accurate, and timely responses to questions from internal and external customers.
  • Research and verify information to ensure accuracy and reliability of the data in line with department policies and procedures.
  • Protect confidential donor and organization information in a variety of formats including network files, digital images, and physical files.
  • Provide cross-training, as needed, and coverage in the event of extended absence from positions and during busy time periods.
  • Perform related duties as required.

Minimum Job Requirements:
A Bachelor's degree and a minimum of two years of experience or an equivalent combination of education/experience related to the duties specified.

Knowledge, Skills and Abilities:
  • Highly organized and able to prioritize multiple processing tasks.
  • Collaborative style, combined with the ability and desire to work in a team-based environment.
  • Attention to detail, accuracy, and thoroughness in completing assigned duties.
  • Ability to maintain a high degree of confidentiality and responsibility regarding information related to ENMU Foundation business and confidential prospect information.
  • Strong and collegial interpersonal skills and an ability to communicate effectively in person, in writing, and by phone or web meeting.
  • Strong mathematical and computational skills and the ability to audit or proof work to ensure accurate calculations.
  • Demonstrated ability and desire to learn, apply and retain complex and detailed processes and procedures.
  • Proficient with Banner, MS Office Suite including Word, Excel, and Outlook.
  • Advocate and champion for the impact higher education advancement has on our region and in the lives of students and families.
  • Possess strong investigative and analytical skills.
Working Conditions

Physical Demand and Working Conditions:

  • Work is sedentary in nature that at times requires exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
  • Be available and willing to work outside of the scope of regular business hours during busy gift processing times such as at the end of December and the end of June.
