Requisition ID req29084 Working Title Admin Assistant 3 Position Grade 08 Position Summary

The Department of Ophthalmology and Visual Sciences is seeking an experienced, goal-oriented, resourceful and self-motivated individual to join our team as an Administrative Assistant 3. Under limited supervision, this position will provide operational coordination, administrative support, and project management to our department.

In this role, the selected candidate will also:

  • Handle incoming inquiries, emails, and phone calls, directing them appropriately.
  • Manage calendars, schedule appointments, and coordinate meetings,
  • Prepare agendas, take minutes, and distribute materials for departmental meetings.
  • Assist with the preparation of reports, presentations, and correspondence.
  • Support faculty with onboarding, orientation, credentialing, licensing, re-appointments, digital measures.
  • Facilitate faculty recruitment efforts and approvals.
  • Maintain accurate records, files, and databases related to departmental activities.
  • Serve as a back up for coordination of travel arrangements and process expense reimbursements.
  • Assist with special projects and events as assigned by leadership.
  • Other duties as assigned.

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.
  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Organizational skills
  • Experience in minute taking, letter and memo writing
  • Schedule coordination experience
  • Experience with licensure and/or credentialing
  • Proficiency with the Microsoft Office suite
  • Experience working with leadership, faculty, physicians, students
