Overview

Marketing/Proposal Coordinator

Job Summary: Huitt-Zollars' has a great full-time opportunity for a Marketing/Proposal Coordinator with minimum 3 years experience. Produce and coordinate production of company's business development materials, including qualification submittals, proposals and presentations for clients; cooperate in timely maintenance of systems for supporting business development efforts, including project data, biographical information and experience of key personnel, and photography; contribute to other communication tools such as in-house and external promotional materials and brochures; provide assistance to Managers and Principals in business development initiatives.

Location: Dallas (Corporate Employee)

Reports: Vice President, Marketing & Business Development

Duties/Responsibilities:

    Collaborates with VP Marketing, Principals, Market Sector Leads, and Managers on pursuit, SOQ, proposal strategies, and win themes; supports the Go/No-Go process.
  • Creates concepts for and coordinates production of business development materials such as proposals and presentations.
  • Manages the comprehensive proposal and qualifications submittals process from kickoff to submission.
  • Leads kickoff and checkpoint meetings and diplomatically expresses ideas and opinions to individuals and groups.
  • Coordinates with Principals, Market Sector Leads, Managers, and subconsultants to select, create, and elevate content.
  • Produces submittals for delivery, ensuring the final version is completely compliant and persuasive.
  • Ensures that client debriefs take place.
  • Maintains the database (resumes, project information, graphics, boilerplate library).
  • Provides Principals, Market Sector Leads, and Managers with marketing collateral as requested.
  • Manages continuous updates on firm profiles, overviews, project lists, project sheets, resumes, etc.
  • Maintains marketing database on projects and prospective jobs/clients.

Requirements:

  • Bachelor's degree in Communications, Journalism, English, Marketing or related field; experience in marketing in the architecture/engineering field preferred; understanding of basic technical aspects of the A/E industry preferred. Minimum of 3 years of experience managing proposals; understanding of government contracting and procurement, FAR regulations, SF330 submittals and requirements, and color team reviews.

Specific Requirements:

  • Outstanding written and verbal communication skills
  • Excellent writing, editing, and graphic design skills
  • Interest in architecture and engineering design
  • Proficient software skills including Adobe Creative Suite and Microsoft Office; experience with Deltek Vision/Vantagepoint a plus
  • Excellent interpersonal skills, with an ability to team with varying personalities internally, as well as external vendors and clients
  • Must be detail oriented, accurate in work, organized, capable of prioritizing workload to complete multiple tasks on time, and able to gracefully manage multiple projects simultaneously
  • Ability to contribute to develop and implement winning proposal/presentation strategies
  • Passion for continuous improvement, both personally and professionally
  • A positive, upbeat attitude with a customer-centric approach to daily work
  • Sense of urgency and strong collaborative spirit

Physical Requirements:

Prolonged periods sitting at a desk and working on a computer

Some travel, and overnight travel may be required

Must be able to lift up to 25 pounds at times

The employee must be able to concentrate on details, work under deadline pressures, apply sound logic and judgment, and prioritize tasks and responsibilities
